This Privacy Policy describes how Trustif Solutions OÜ ("Trustif", "we", "us") collects, uses, and protects information when you use Trustif Internal CRM, our staff booking tools, and related services (collectively, the "Service").

Who this applies to

• Staff users — invited Trustif employees and contractors who sign in to the internal CRM.
• Guests — people who book meetings through a public booking link shared by a Trustif host.

Information we collect

Depending on how you use the Service, we may process:

• Account details for staff (name, email address, role, and authentication credentials).
• CRM data entered by staff (accounts, contacts, notes, wiki content, and uploaded files).
• Booking details provided by guests (name, email, chosen time slot, and any information submitted with a booking).
• Optional Google Calendar connection data for staff who connect Google on their profile (connected Google account email and encrypted OAuth refresh token).
• Technical data such as session cookies, server logs, and basic usage information needed to operate and secure the Service.

How we use information

We use information to:

• Provide, maintain, and secure the Service.
• Authenticate staff and manage access.
• Schedule meetings and send booking-related emails.
• Create and update Google Calendar events when a host has connected Google Calendar.
• Support internal sales and customer relationship workflows.
• Comply with legal obligations and enforce our terms.

Google Calendar

If a staff member connects Google Calendar, we access Google Calendar data only as needed to create, update, or cancel calendar events and Google Meet links for bookings they host. We do not use Google sign-in for staff authentication. You can disconnect Google Calendar at any time from your profile.

Trustif's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Sharing and processors

We do not sell personal information. We use trusted service providers to operate the Service, such as hosting, database, email delivery, and cloud storage providers. These providers process data on our instructions and under appropriate safeguards.

Retention

We retain information for as long as needed to provide the Service, meet business and legal requirements, and resolve disputes. Staff may request account deactivation through an administrator.

Security

We use reasonable technical and organizational measures to protect information, including encrypted storage for sensitive tokens and access controls for staff accounts. No method of transmission or storage is completely secure.

Your rights

Depending on applicable law, you may have rights to access, correct, delete, or restrict processing of your personal information. Staff and guests may contact us using the details below.
